The Facilities Coordinator is a full time position reporting to the Manager of Facilities and Capital Planning in the College of Food, Agricultural and Natural Resource Sciences (CFANS). This position is responsible for supporting CFANS and MAES in maximizing space utilization in research labs and other assigned spaces. Activities may include leading lab cleanouts and moves, organizing shared research rooms and equipment, and coordinating safety training. The Facilities Coordinator is also responsible for updating the CFANS space database and administering space surveys and assessments.
The position also acts as building coordinator for the Cargill building on the St. Paul campus, acting as a single point of contact between building occupants and service providers regarding maintenance, repair, and remodel efforts; coordinating small remodels and relocations; overseeing event space scheduling; and providing on-site support to building occupants.
Responsibilities
60% CFANS Facilities Support
Space Inventory:
Act as subject matter expert on research lab facilities
Survey research lab spaces and document findings
Compile reports and assist in data analysis of space utilization
Support college with assessment of collegiate space utilization and advise on best use of lab and office space
Project Coordination:
Work closely and collaboratively with internal customers to separate needs from wants and ensure their needs are reflected in solutions provided.
Lead small projects including room/building cleanouts and lab and office relocations, managing these within specified budget and timeline.
Vendor Management: Solicit and manage internal and external service providers in compliance with University policies.
Communication:
Act as primary point of contact for internal customers, proactively communicating needs and driving service from Facilities Management (FM), Health Safety and Risk Management (HSRM), and other internal University service partners
Communicate processes and project progress with collaborators and relevant functional groups within CFANS and Minnesota Agricultural Experimental Station (MAES)
Safety:
Work with HRSM partners to resolve lab safety concerns
Develop expertise in safety training requirements and effectively communicate requirements to faculty, staff, and students Coordination of annual safety training
40% Cargill Building Management
Access and Security:
Facilitate building access requests for keys and card access and audit annually
Develop and maintain occupant database
Maintain visitor building access
FM Requests / Project Coordination
Single point of contact for all FM requests and follow up
FM project coordination
Phone and data requests
Conferences and Events Management
Manage process for seminar room reservations
Oversee billing for external events
Common space monitoring (conference room furniture, kitchenette, lounges)
Troubleshoot conference room AV issues and escalate as necessary
On-site Support
Act as accessible, on-site primary building contact
Mail and package sorting
Building day-to-day oversight/monitoring
Digital signage - development of content + loading
Updating building displays
Yearly space audit and entry into Tririga
Update and distribute building emergency plan
Equipment alarm responses for building shared equipment
Physical Requirements
â— Ability to walk, bend, and occasionally lift up to 50 pounds to coordinate lab moves, cleanouts, and space assessments.
â— Ability to conduct inspections in a variety of laboratory environments, including spaces with hazardous materials or equipment.
Minimal Qualifications
â— Bachelorâ™s degree and at least 2 years of professional experience in a related field (e.g. facilities management, biological or chemical research laboratory, or a combination of both)
â— Ability to manage and prioritize multiple tasks and projects simultaneously on specific timelines, while exhibiting strong organizational and problem solving skills
â— Demonstrate a high degree of initiative, reliability and attention to detail.
â— Experience implementing and enforcing organizational policies
â— Experience implementing inclusive strategies into your work product.
â— Strong verbal and written communication skills; including writing reports, and project justifications.
â— Ability to work independently and/or collaboratively; within the unit and various cross-functional departments, University stakeholders & external partners.
â— Proven ability to establish and maintain positive, successful working relationships among a diverse group of people and stakeholders.
â— Proficiency with Google Suite and/or Microsoft Office Suite, particularly Word and Excel
Preferred Qualifications
â— Understanding of large scale building systems including electrical, plumbing, and HVAC
â— Knowledge of space planning principles, facilities management principles, and/or health and safety principles
â— Experience troubleshooting issues with AV equipment and other technology
â— Experience and understanding of an academic research environment
â— Knowledge of University of Minnesota concepts, practices, University policies and procedures
â— Held the Department Facility Representative (DFR) or Primary Building Contact (PBC) role/roles at the University of Minnesota.
