Position Overview
The Academy is seeking a part-time Receptionist in a supporting role who is self-motivated and experienced working in a fast-paced, collegiate environment. This is a unique opportunity for highly motivated individuals with a passion to build upon the exceptional reputation of The Academy. This position will report to the Director of Student Services.
General Position Responsibilities
· Handle the Academy Reception Desk and all daily tasks associated, including managing the main phone line and reception email account.
· Serve as point person to provide information and guidance to all campus constituents (students, faculty, staff) as well as alumni, vendors, and visitors.
· Complete administrative tasks associated with faculty and student attendance, such as handling call-out reports.
· Maintain class and meeting room reservation requests in the online reservation system.
· Stock office supply inventory and ensure all equipment is operational; act as point person to alert Operations about any services needed.
· Sort/distribute/organize mail, faxes, and packages for staff and faculty.
· Assist with data entry and ensure security, integrity, and confidentiality of data.
· Ability to be resourceful and deal with emergencies in a calm, timely, and effective manner according to Academy policies and procedures.
· Serve as a point person during emergencies, such as accidents, and communicate in real-time with relevant parties.
· Special projects as needed and other duties as assigned or approved by the Director of Student Services.

· Able to work 10 to 18 hours per week onsite – primarily during the late afternoon/evening (4:30pm – 10pm) on varying weekdays. However, flexibility and availability for morning or midday shifts as needed is a plus, to help with coverage during other team members’ time off. During the academic year, Saturday shifts are also needed, distributed on a rotating basis; hours are 10am to 6pm. There are fewer hours during summer (June, July, and August).
Experience/Education/Required Skills
· High school degree with proven work experience in an administrative role required.
· Previous experience in the arts or a non-profit setting preferred.
· Proficiency in computer skills including MS Office Suite, databases, apps, and e-mail.
· Effective and precise written and verbal communication skills.
· Strong analytical, organizational, and problem-resolution skills.
· Meticulous attention to detail and ability to proactively manage multiple projects and priorities in a fast-paced environment.
· Ability to easily connect with people and constructively discuss various problems and issues.
Compensation and Benefits
· The hourly compensation range is between $16.50-$19.
· This is a part-time, hourly position, with accrued sick time as mandated by the state.
· Currently residing in the New York Metro Area. No relocation costs are provided.
· No other benefits offered.
